[YSU-Academic-Senate] Upcoming Senate Meeting: 9/3/25

Good morning everyone,

I want to take a moment to welcome everyone back for the upcoming academic year and hope that everyone had an enjoyable summer.

Our first academic senate meeting of the new academic year is set to take place on September 3rd 2025 in Debartolo Hall Rm 132 at 4:00 pm.  Attached is the agenda for the meeting.

In preparation for the first meeting here are a few updates:

  1.
Over the course of the summer, the web team here at YSU helped to      update the senate website.  This includes upgrades to the interface, as    well as, navigation links.  We are looking to add more features to the website  to continue to make it more user friendly and informative.  Over the next month I'm looking to update the senator lists, as well as, committee pages.  The Senate meeting information page has been updated (https://ysu.edu/academic-senate/2025-2026-meeting-agendas-and-minutes) with a list of senate dates scheduled in advance for the upcoming academic year.  Please note the following dates for fall: 9/3, 10/1, 11/5, 12/3 (All confirmed).  Dates for spring include: 1/7, 2/4, 3/11, 4/1, 4/22 (to be confirmed in December).

On the topic of senate attendance, last year the senate adopted an attendance policy that is posted on the main page of the senate website (https://ysu.edu/ysu-academic-senate).  Please familiarize yourself with this policy.  To paraphrase some of the policy: "Members of the Academic Senate are expected to attend all scheduled meetings and activities, whether conducted in person or online, unless excused by the Senate Chair or Vice Chair.".  Additionally, "When meetings are scheduled as an in-person format, Senators are expected to be present. On-line options will only be made available for those Senators with special accommodations as defined by Human Resources".  If you are unable to attend a senate meeting, please notify the senate secretary and chair in advance with a valid reason.  It is an expectation that senators will attend all senate sessions in-person.  Attendance is important for the establishment of quorum so that senate business can be conducted.

All senators have been granted access to the senate email list (if you received this email your on the list).  Anyone in the YSU community is able to subscribe to the senate list (with a valid ysu email) if they wish to receive updates from the academic senate.  For current senators, it is mandatory to be on this list as important senate meeting announcements and updates will be sent periodically throughout this semester.  If you are no longer a senator, you may voluntarily remove yourself from this list if you no longer wish to receive emails.  To do so, you can remove yourself by using the following link: https://lists.ysu.edu/mailman/listinfo/ysu-academic-senate. You can also request to be removed through the senate secretary.

The senate executive committee has met on 8/21 to discuss the upcoming senate meeting.  A list of the minutes and the agenda for that meeting will be posted shortly on the senate executive committee webpage for your viewing (https://ysu.edu/academic-senate/senate-executive-committee-2025-2026). All future executive committee meetings will have this information posted for future reference.  Committees listed on the senate website can send along their own meeting information for posting to the website as well.

The Academic Senate has a TEAMS folder which serves as a central repository for documents and information related to the academic senate.  Ross Morrone is assisting me with updating the access list and organizing the files that are stored on the TEAMS site.  The TEAMS site is available as a resource for individual access to senate content.  Please DO NOT remove/delete/rearrange any of the content folders or information.  MAAG library uses this TEAMS site to help create digital archives of senate meeting recordings and documents.  Committee Chairs are encouraged to use TEAMS as a way to upload their committee reports/minutes/content accordingly.  Information from the TEAMS folder is then able to be uploaded to the senate website as needed.

For each senate meeting, there will be a recording and a minutes document.  For purposes of the recording, we have linked the microphones to webex to improve audio quality.  Since the audio is linked via microphone, it is greatly appreciated that anyone that wishes to speak during the senate session utilize the microphones.  In addition, it would be helpful if you introduce yourself and your department prior to addressing the senate.  I utilize the recordings to review my minute notes and it would greatly help if I knew who was speaking before the comments are made so that I can improve the quality of the minutes.

If your new to the academic senate, we welcome you onboard!  Here are a couple quick tips for you getting started:

Please refer to: https://ysu.edu/ysu-academic-senate.  You will find the attendance policy, and a copy of the bylaws and charter.  This will help familiarize you with how the senate conducts business.

Make sure you arrive in-person and on-time for senate meetings.  When you arrive, there will be a sign-in sheet in the back for you to initial for attendance record keeping.  Please be sure to sign-in.
  *
Please review the agenda and any documents sent before the meeting.  Some agenda items may require a vote, so it is important to review documents accordingly so that you can cast your vote confidently.
  *
Be sure to check your emails for periodic updates from the senate.
